Dear Parents, Carers, Community Members and Staff,


We’re thrilled to invite you to the Springfield Central State School P&C Association’s Annual General Meeting on Wednesday, 12th March at 6pm in the School Library, located in D-Block. 


Parking is available via Gate 1 on Spring Mountain Boulevard.

This is a fantastic opportunity to come together, share ideas, and help shape the future of our school community.

Get Involved!
We believe that many hands make light work, and we warmly welcome all parents to join our P&C family. It’s easy to get involved:

  • Download the membership form.
  • Complete and return it to the school office or email it to pandc@springfieldcentralshs.eq.edu.au (scanned copies or photos are perfectly acceptable).
  • Printed copies are available at the office if needed.

Exciting Opportunities at the AGM:
At this year’s meeting, all current Executive positions will be declared vacant. We’ll be nominating our new 2025 Executive Committee, which includes:


President

The President is the heart and soul of our P&C. This role requires a dynamic leader who:

  • Leads with Vision: Sets the strategic direction, facilitates engaging meetings, and ensures our mission and values remain at the forefront.
  • Acts as a Bridge: Serves as the main liaison between the P&C, school leadership, teachers, parents, and the wider community—ensuring transparent communication and fostering a collaborative spirit.
  • Ensures Compliance: Is well-versed in our P&C Constitution, Accounting Manual, and all safeguarding policies, ensuring every action and decision aligns with these standards.
  • Tuckshop Oversight: Holds accountability for all employment matters related to Tuckshop services, ensuring smooth operations and fiscal responsibility.

Vice President

The Vice President is the essential support pillar, ensuring continuity and reinforcing the leadership team. Key responsibilities include:

  • Supporting the President: Stepping in seamlessly when the President is unavailable, ensuring that leadership and decision-making continue without interruption.
  • Coordinating Projects: Overseeing specific initiatives and committees, and working closely with the President to implement strategic plans.
  • Fostering Communication: Helping bridge any gaps between different teams and ensuring that ideas and concerns are effectively communicated and addressed.
  • Upholding Standards: Being familiar with all operational guidelines and ensuring that every action taken is consistent with the P&C’s rules and best practices.

Treasurer

The Treasurer is our financial steward, responsible for maintaining the economic health of the P&C. This role involves:

  • Financial Management: Preparing and monitoring annual budgets, managing receipts and expenditures, and ensuring strict adherence to the Accounting Manual.
  • Transparency: Providing clear and timely financial reports to the membership, fostering an environment of trust and accountability.
  • Resource Planning: Collaborating with other committee members to plan fundraising initiatives and cost-effective strategies that support our school programs.
  • Oversight of Bookkeeping: Coordinating with our contracted bookkeepers, JSM Accounting, to ensure all financial transactions are recorded accurately and in compliance with policies.

Secretary

The Secretary is the organizational hub of the P&C, ensuring that every detail is recorded and communicated. Responsibilities include:

  • Meeting Coordination: Preparing comprehensive agendas and recording accurate minutes during meetings to capture decisions and action items.
  • Record Keeping: Maintaining essential documents, correspondence, and records in an organized and accessible manner.
  • Communication: Serving as the primary point of contact for distributing information, ensuring that all members are kept up-to-date with the latest news and policies.
  • Support Role: Assisting the President in the administrative tasks necessary to keep our operations running smoothly and ensuring compliance with all procedural requirements.

In addition to these core roles, we’re excited to introduce two new positions at the AGM:

  • Grants Writer: A dedicated role focused on researching and applying for grants to secure additional funding for school initiatives.
  • Fundraising Working Group: A team responsible for planning and executing innovative events to boost our fundraising efforts.

A Few Quick Membership Facts:

  • Flexibility: You don’t have to attend every meeting. We understand busy schedules and just appreciate your support when you can volunteer.
  • Easy to Join: Membership doesn’t require meeting attendance. Simply return your completed form!
  • Volunteer Blue Card: Parents do not need a volunteer blue card to help out. However, other family members do, and we’re happy to assist with the application process.
  • Induction Training: All volunteers (including P&C members) must complete a brief 15-minute induction training to ensure everyone is covered under our Personal Accident Insurance Policy.

Joining the P&C isn’t just about supporting our school—it’s a chance to:

  • Make lasting friendships with like-minded parents.
  • Enhance your skills and gain new experiences.
  • Stay informed about important school matters.
  • Give back to our vibrant community.
  • And, most importantly, have fun!
